The International Personnel Management
Association of Canada (IPMA-Canada) is committed to the protection of
the personal information of its members, partners and stakeholders, in
accordance with the federal Personal Information Protection and
Electronics Documents Act (PIPEDA).
Information collected is usually defined
as being either anonymous or personally identifiable. Anonymous
information refers to data that cannot be tied back to a specific
individual. Personal information includes any factual or subjective
information, recorded or not about an identifiable individual.
This Privacy Policy discloses IPMA-Canada's
privacy practices and contains detailed information about the following:

IPMA-Canada will update this policy from
time to time, so please check back periodically. When such changes
occur, you will see the word "updated" next to the Privacy Policy link
on each page on IPMA-Canada. If at any point we decide to use personally
identifiable information in a manner different from that stated at the
time it was collected, we will revise the policy, inform all our members
and prominently post such changes prior to implementing them.

Officer and is committed to ensuring the privacy of all personally
identifiable information. The Privacy Officer will investigate all

What information of yours
does IPMA-Canada collect? |

Our goal is to become your destination for
HR-related information by providing information and services, and to
offer products that are most relevant to you in the most convenient way.
To achieve this goal, IPMA-Canada collects information about its members
and participants in its events. IPMA-Canada does not collect cookies
from visitors to its website.
IPMA-Canada collects personal information
in the following ways:

IPMA-Canada Membership and
Certification/Re-certification Applications: You are sharing personally
identifiable information, including your name, address, email address,
technical skills area and type of organization, when you join IPMA-Canada
or renew your IPMA-Canada membership. In addition you may provide cheque,
VISA or MasterCard information to pay for your membership. |

b)
IPMA-Canada
Certification/Re-certification Applications: In addition to membership
information, in order to be granted certification you will need to share
information on your total years of education and experience; technical
skills areas and mastery/journey level of experience; and successful
completion of the HR Competency Exam. In order to be re-certified, you will be
required to share information on your continuous learning activities. |

Event
Registrations: You may be asked for personal information,
when registering for specific events such as conferences and seminars at the
National or Chapter levels, including address, name of organization (so
that we may be able to contact you) ; VISA or MasterCard information (so
that we may process your payment for the event); and any food
requirements or limitations (so that we can meet your individual needs).

d)
Human Resources
Management Certificate Applications: You may be asked for
personal information including mailing address and email address and
payment information for contact and payment processing purposes. You
will also be asked for successfully completed courses in accordance with
our criteria. This is needed to grant the HRM Certificate. |

Who has access to your
information and what is it used for? |
|

a)
Membership Lists
Membership lists, which contain all the
information collected on the application, are maintained at the National
Office only. This is used for invoice creation, payment processing and
statistical purposes such to determine as the number of members by
Chapter or by type of organization. Accuracy is maintained through
annual renewal by members themselves and through follow-up by delegated
officers, as required. Members no longer in good standing are regularly
removed from the lists.
Modified lists containing name, title,
address, email information and membership renewal date are provided to
delegated Association officials to maintain membership lists up to date
and to make contact with members as well as to make decisions on
professional development events relevant to the membership and to
develop activities to encourage new members. The National Office and
local Chapters also use these lists to mail or email IPMA-Canada event
and newsletter, marketing and other IPMA-Canada membership information
to active members. On the membership application and the membership
renewal form, you are asked if you would like these valuable membership
services.
From time to time, membership lists
containing name, title and address information are provided to third
parties, either as partners or for Association revenue generation, only
for the express purpose of providing our members with information on
relevant human resources professional development events or other HR
information of benefit to our members. No email addresses are provided.
On the membership application and the membership renewal form you are
asked if you would like this service.
In some Chapters, membership lists
containing names, addresses and email addresses are provided to other
members for networking and contact purposes. On the membership
application and the membership renewal form, you are asked if you would
like this service.

b)
Certification and
Re-certification Applications
Information is collected by the Chapters
or National Offices and is viewed by IPMA-Canada and IPMA-HR
Certification Committee members for the purpose of approving the
applications only. A notation on status is added to the membership list
once certification or re-certification is granted.

c)
Event registration
forms and payment information. This information is either
collected by the National Office or by the Chapter offices. The
information is used for the purpose of registration and payment only and
is not shared outside the administering office. |

d)Anonymous
information. We disclose to third-party sponsors/advertisers
aggregate statistics only such information as the number of members and
the number of visitors to our website.

Note: IPMA-Canada may be required by law
enforcement or judicial authorities to provide information on individual
users to the appropriate governmental authorities. In matters involving
a danger to personal or public safety, IPMA-Canada may voluntarily
provide information to appropriate governmental authorities. |

How long is the
information kept? |
|
|
IPMA-Canada maintains the information for
as long as required to fulfill the purposes listed above. For example
certification applications and applications for HR Certificate are kept
for one month after the application is approved or any dispute is fully
resolved. After that time only a summary sheet containing approval or
dispute information will be kept in order to document that due process
was followed. Payment information is maintained for three months after
membership renewal, certification or event has taken place in case of
processing error, dispute or request of refund. |

What kinds of security
procedures are in place to protect against the loss, misuse or
alteration of your information?
IPMA-Canada is committed to ensuring the
privacy of personal information and has security measures, such as
firewalls and passwords in place to attempt to protect against the loss,
misuse and alteration of your user data under our control. IPMA-Canada
has implemented strict rules for employees who have access either to the
databases that store user information or to the servers that host our
services. We shred all personal information before disposal. While we
cannot guarantee that loss, misuse or alteration to data will not occur,
we take many precautions to prevent such unfortunate occurrences. Any
other particularly sensitive information, such as your credit card
number, collected for a commerce transaction is transmitted in a secure
way to the banking institution.
Information provided to a third party
goes with a contract specifying its one time use and with a clause to
protect the privacy of the personal information in accordance with
PIPEDA. In addition, we have a tracking system to identify if
unauthorized use occurs. We will make a complaint against any company
who is fraudulent in the use of IPMA-Canada information.
You are ultimately responsible for the
security of your IPMA-Canada member ID and password. You may not share
your IPMA-Canada member ID and password with colleagues or friends so
they can access content or features on IPMA-Canada website that are
restricted to IPMA-Canada members only. You should log out of your
browser at the end of each computer session to ensure that others cannot
access your personal information and correspondence, especially if you
share a computer with someone else or are using a computer in a public
place like a library or Internet cafe.

How can IPMA-Canada members view or
modify their personal information?
IPMA-Canada members can access their
personal information at any time. IPMA-Canada members have the following

How can you opt out at
any time from use of your personal information?
IPMA-Canada asks its members on its
application forms to allow for specific uses of their information. If
approval is not given, then their personal information is removed from
the membership lists.
However, at any time members may opt out
of receiving communications or services from IPMA-Canada and/or our
partners. If you no longer wish to receive specific communications or
services, please advise us at the contact points provided in Question
and Answer 6. |
